Virtual Meetings
Conference Rental’s Virtual Meeting Room allows attendees to participate in a fully immersive meeting environment by offering high definition video and audio, document sharing, voting, chat and simultaneous language interpretation. The system is designed to simulate in-person meetings by providing all the necessary tools within the virtual meeting environment.

All active participants in the meeting can speak, share their video and presentations and distribute documents seamlessly with other attendees directly from their desktop, laptop, smartphone or tablet. A Conference Rental Operator may be assigned to the meeting to control the request-to-speak list, upload documents, and chat with participants for troubleshooting.

Our Virtual Meeting Room may be used for multilingual meetings where each attending can speak in his or her native language. Professional conference interpreters will provide real-time language interpretation. Learn more about cloud-based interpretation

Meeting attendees can join the meeting from their computer or smart phone. Software downloads are not required as the meeting interface is accessed through a web browser. A specially designed smart phone app allows attendees to join a meeting using their personal devices (available on iPhone and Android).

Features:

Request-to-Speak List – Take control of any virtual meeting with a request-to-speak list. Limit the number of participants who can speak at one time and the order in which they may speak. This feature provides more structure to virtual meetings while preventing everyone’s microphone being on which leads to background noise.

Voting and Polling – Enable meeting topics to be voted on in real-time. Voting results can be done publicly or anonymously. Votes can be held in a series of formats; parliamentary (yes/no/abstain), multiple choice or rating.

Digital Recording – All virtual meetings can be recorded and archived for access following the meeting. Recordings can also be downloaded and shared. The meeting may be recorded in a consolidated format (one file) or isolated (separated into segments) to allow for easier transcription or logging of meeting minutes.

Document Sharing – Documents can be uploaded and shared with meeting participants prior to the meeting or in real-time during the meeting. PDF, text documents and presentations may all be shared and stored for access to the meeting participants at any time.

Chat – Just like in a real meeting environment, side bar conversations can occur using the chat feature. Chats allow participants to address all participants or specific individuals. Chats may also be used to communicate with the meeting operator if the participant is experiencing technical issues.

VIP – Special privileges can be granted for select meeting participants. Assigning VIPs allows those participants to speak at anytime (bypassing the request-to-speak list) and take control of the meeting.
